What we keep, and why
Who we are: Reputable Sitters Ltd, registered in England and Wales, no. 17032078. Registered office: 71–75 Shelton Street, Covent Garden, London WC2H 9JQ. Contact: listening@reputablesitters.com.
What we ask for: your answers. Your email only if you tick “Keep me up to date”, which is optional, or go on the waiting list; everything else works without it. We don't ask your name. Please leave names and addresses out of your story; if any slip in, we remove them before anyone else reads it.
If you email listening@reputablesitters.com, we receive your email address and anything you include, such as your name. We use your address only to reply to that message, never add it to a list, and delete the email within six months. Anything we quote from it is anonymous, as above.
Why: to learn how sits go and what people want from an agreement, so we build the right thing. Our reason in law is our legitimate interest in that research. If you leave your email, we use it only to send occasional updates from Reputable Sitters (the results, news, and when you can try the agreement), with your consent. Unsubscribe any time.
If you go on the waiting list as a homeowner: we keep your email with your answers, and where on our site you came from.
We use your answers to help choose who is invited to test.
We use your email only for the waiting list: to send you an invitation, with a code, if there's a place.
We keep it until we send your invitation, then delete it. If no invitation comes within six months, we delete it then.
Our reason in law: it's a step you've asked us to take before you join. Your answers are kept as above.
Who sees it: only the small team at Reputable Sitters, helped by AI tools that read, count and summarise the answers. Those tools work under business terms that don't let the provider train on what you write. We never sell it or share it. We publish the results at listen.reputablesitters.com for everyone: counts and short anonymous quotes, never anything that could identify you, and never for a group smaller than 30 people.
Where it's kept: on our own systems with our hosting provider, Cloudflare, stored in Western Europe. Where Cloudflare handles data outside the UK, it is protected by the UK's approved international transfer terms.
The AI tools we use are run by a provider that stores data in the United States and may process it in other countries, under the UK's approved international transfer terms. It doesn't train its models on what we send it.
How long: we keep an email for updates until you unsubscribe, and then delete it; an email on the homeowners' waiting list, as above. We delete or fully anonymise answers within six months. Our hosting provider keeps a short history of our database for its own recovery, so anything deleted is fully gone from it within 7 days.
Your rights: you can ask to see, correct or delete what we hold about you, or to limit or object to how we use it. For your answers, quote your response code if you were given one.
If you left your email, you can also ask for a copy of what you gave us, in a form you can take elsewhere.
If you're unhappy with how we've handled your data, you can complain to us at listening@reputablesitters.com, and we'll confirm we've received it within 30 days. You can also complain to the Information Commission (ico.org.uk).
You don't have to answer anything you'd rather not. Nothing is decided about you from your answers to the housesitting questions or from your story, except who is invited from the waiting list, if you go on it.
